How to collect RSVPs on WhatsApp without losing replies
Sending an invitation on WhatsApp is easy. Keeping track of yeses, knowing how many people each reply includes and spotting unanswered invitations takes a little planning. Decide where you will record replies before sending.
1. Choose where replies will be recorded
A manual list can work: family name, reserved seats, yes or no, confirmed attendees and reply date. If your invitation includes an RSVP form, check that replies belong to the correct family and cannot exceed their reserved places. A read receipt or a heart reaction is not a confirmed RSVP.
2. Include the essentials and ask a clear question
Say who is inviting them, what the celebration is, the date, location and reply deadline. For example: “Hi Ana! We would love you to join us for Ximena’s quinceañera. We have reserved 3 places for your family. Here are the details: [your invitation link]. Could you confirm before May 1?” Adjust the date and passes for that family; only offer places you have reserved.
3. Use the right invitation link
In Celebré, the public page shows the event details. To receive an identified reply, add the guest to your list and send their individual link through WhatsApp or the share control. They can see their passes and respond without an account. Do not send one individual link to a group: everyone would be responding for the same guest record.
4. Review outstanding replies before the deadline
Separate accepted invitations, declines and pending replies. Set aside time to check your list and send personal reminders before the deadline. Celebré collects replies in your dashboard; it does not automatically send WhatsApp reminders. If someone replies in chat, ask them to also respond through their link so the answer appears in your dashboard.
5. Count attendees rather than messages
One family can take several seats with one reply. In Celebré, the host sets the allowed companions and the RSVP cannot exceed that allowance. Review the confirmed total and pending replies before giving numbers to your venue or caterer. If the time or location changes, edit the invitation and tell your guests: the link shows the update, but guests may not reopen it on their own.
