How to assign family passes in a digital invitation
“We have reserved 4 places for your family” should mean the same thing to you, the family and the venue. Start with a list of people and seats before sharing links, then collect replies without rebuilding the count.
1. Include the named guest in the total
A family’s total includes the person the invitation is addressed to. Four reserved places for Ana and her family means Ana plus 3 companions, not Ana plus 4. In Celebré, a guest record represents the named guest; the companion allowance adds the other permitted seats. Ana and her partner need 2 passes in total, with 1 allowed companion.
2. Decide which seats you are reserving
List each family and its reserved total. Decide in advance whether children will attend, whether they need their own seat and whether guests can bring a companion. The system does not know the venue’s rules or decide who needs a chair: you set the allowance and explain conditions in your invitation. An adults-only note does not replace a conversation with the family when one is needed.
3. Create a record for each reply you need
You can invite Ana with 3 companions and receive one reply for their 4 places. If two adults need to reply independently, create two records and divide their seats without duplication. Avoid including the same couple within a family record and as separate guests: you would reserve more places than you actually need.
4. Send each family its own link
After publishing in Celebré, share the individual link from that guest’s row. The family sees its places and responds without registering or installing an app. The public page shows the event; the individual link allows a response for that record. Do not post individual links on public social pages or reuse one for several families. Anyone holding that link can respond for its named guest.
5. Use passes to manage RSVPs
Passes limit how many people a guest record can confirm. They do not prevent link forwarding or replace admission checks at the door. Before confirming catering numbers, review attendees, declines and pending replies. If a family needs more seats, speak with them, check your capacity and update the allowance in their record before asking them to update their response.
